What Is a Transaction Decline?

A transaction decline occurs when a payment attempt is rejected and does not process. The cardholder receives immediate notification, no funds are deducted on first decline, and the purchase cannot be completed until the issue is resolved.

Why Declines Happen

Transaction declines are protective mechanisms designed to:

  • Prevent overspending beyond approved budgets

  • Stop unauthorized or fraudulent transactions

  • Enforce company spending policies

  • Protect against technical or security issues

  • Cross-border fee charge on merchant

Common Reasons for Transaction Declines

1. Insufficient Card Balance

The Issue: The card doesn't have enough funds to cover the transaction amount.

How to Identify:

  • Decline message mentions "insufficient funds" or "balance too low"

  • Transaction amount exceeds available card balance

  • Card balance shows zero or near-zero in dashboard

Solution: Click here to Top up the card with sufficient funds:

  1. Go to "Cards" in your dashboard

  2. Select the affected card

  3. Click "Top Up"

  4. Enter the required amount

  5. Confirm the top-up from your assigned budget

2: Merchant Category Restrictions

  • Your card has restrictions preventing purchases from certain merchant categories (e.g., gambling, cash advances, alcohol).

  • If restrictions are intentional policy, direct the cardholder to reach out to the Admin for access

3. Invalid card details & Expired Card

  • Confirm if physical card has passed its expiration date and request for a new card

  • Confirm the Wrong card number, CVV, expiration date, or PIN are not entered during transaction.
